Start with the campaign source
A source field should explain the campaign, form or channel associated with an enquiry. Ask what the label means and whether it identifies the original signup or a later handover. A source name alone does not establish a person’s contact choices.
Identify the intended business and purpose
The brief should identify who will contact the person and what that contact concerns. A request for one business or purpose should not be silently treated as permission for an unrelated one. Confirm the proposed contact process before approving the campaign.
Agree the evidence needed
Specify the signup or enquiry date, campaign source and recorded choice needed for your workflow. If an additional confirmation step is required, define how its outcome is represented. Request a description of the process before transferring any records.
Use examples without exposing people
Review the field structure with synthetic examples. A sample used to explain an export does not need real contact details. The public field preview on this website is illustrative and is not a customer record or proof of a completed campaign.
Keep preferences current
Agree how withdrawn contact choices and suppression instructions are handled by the receiving team. Decide who owns updates after delivery. Record these responsibilities with the other order terms rather than leaving them implicit.
